Terms and Conditions of Service
Therapies for Kids – Terms and Conditions of Service 2025 outline important information for families accessing our therapy services. This includes consent, privacy, clinic guidelines, fees, and the therapies we offer such as physiotherapy, occupational therapy, speech and feeding therapy, exercise physiology, and more. Please read carefully to understand your rights and responsibilities before starting services.
1. Informed Consent for Therapy Services
Therapies for Kids provides therapy services for children with neurodiverse conditions ie. Developmental delays, neurological conditions, sensory issues, behavioural concerns, cognitive delays, musculoskeletal matters, etc. Therapy may include a combination of:
- Physiotherapy
- Occupational Therapy
- Speech and Feeding Therapy
- Exercise Physiology
- DMI
- Neuromuscular Re-education
- Vibration Plate
- Treadmills and Exercise Equipment
- Sensory Integration Tools
- SpiderCage System
Potential Risks
While every effort is made to ensure safety, some risks are associated with therapy and physical activity, including:
- Temporary discomfort or soreness
- Aggravation of existing symptoms
- Muscle strains
These risks are minimised through qualified supervision and safety protocols, but they cannot be entirely eliminated.
Your Responsibilities as a Parent or Guardian
You agree to:
- Keep us informed of any new or relevant medical information about your child
- Provide medical documentation as requested (e.g., bone scans, spine/hip x-rays, medical clearance etc.)
- Ensure we have a current, complete management plan if your child has a medical condition such as seizures, asthma, or anaphylaxis
- Understand that missing information may result in changes or postponement of therapy
Voluntary Participation
Participation is voluntary. You have the right to:
- Ask questions at any time
- Decline or withdraw from therapy (note: cancellation fees may apply)
- Be informed of alternative options
Consent to Treatment
By proceeding with our services, you acknowledge that you have read and understood the information above, including potential risks, and that you give permission for your child to participate in therapy, assessments, and activities recommended by our team. You understand that therapy outcomes cannot be guaranteed.
Formal consent will be obtained through our secure management system (PracSuite) before therapy commences. This will involve signing the full Terms and Conditions of Service and providing any required medical information or documentation.
2. Audio-Visual Consent and Release
We may occasionally take photos, videos, or audio recordings of therapy sessions for:
- Internal training and clinical documentation
- Progress monitoring and assessment
- Educational or teaching presentations
- Promotional content (e.g., website, brochures, social media)
- Research and quality improvement initiatives
These may include recordings of your child interacting with staff or participating in therapy.
Privacy and Confidentiality
- We will take all reasonable steps to protect your child’s identity
- Identifying details will only be shared with your written consent
- We comply with Australian privacy laws and ethical standards
Duration and Withdrawal
- Your consent stays valid unless revoked in writing
- Withdrawal won’t impact existing materials, but will prevent further use
- Choosing not to consent will not impact your child’s care
No Compensation
- You understand no financial compensation will be provided for use of any recordings
3. Medical Treatment Authorisation
Therapies for Kids may seek medical treatment for a child in the case of an emergency.
Authorised team members may need to contact or organise treatment through a GP, hospital, ambulance service, or other healthcare provider as appropriate.
In an Emergency
We will attempt to contact the parent(s)/guardian(s) listed. If unreachable, we will contact the alternate person(s) listed below. If urgent, we may call an ambulance without further notice. Families are required to provide the following emergency contact details:
- Secondary Contact
- GP
- Paediatrician
4. Consent for Use and Disclosure of Health Information
We are committed to managing your child’s health information with respect and in compliance with privacy laws.
Purpose of Use
Information you provide may be used to:
- Process billing and appointments
- Communicate updates and service information
- Send reminders or newsletters
- Improve services through surveys or research
- Notify you about relevant events or promotions
(You may opt out at any time.)
Treatment
We may use or disclose your child’s health information for:
- Providing therapy
- Internal staff training
- Quality assurance and audits
- Billing and operational purposes
Access is restricted to authorised team members only.
Sharing Information Externally
With your consent, we may share health information with:
- Other therapists, clinicians, medical practitioners
- Schools, educators, or support staff
- Case managers or assistive tech providers
Let our admin team know if there are individuals or organisations you do not want us to share information with.
Your Rights
- You can access and correct your child’s health information
- You may withdraw consent at any time

5. Financial Responsibility Policy
This outlines your financial obligations for services delivered by Therapies for Kids.
Charges May Include:
- Standard therapy sessions
- Late/missed appointment fees (as per policy)
- Phone consults
- Reports and clinical documentation
- Equipment prep
- Travel time or travel kilometres

Responsibility for Payment
The nominated parent/guardian is responsible for full payment. If someone else is paying, it is your responsibility to ensure they are informed and agree.
Third-Party Funding
If using NDIS, Plan Managers, insurers, or charities, you must authorise us to liaise with them. If they do not pay or funding is unavailable, payment remains your responsibility.
Overdue Payments
Accounts overdue by more than 7 days may result in:
- Suspension of therapy
- Referral to collections
- Legal or recovery fees at your expense
- Persistent late or non-payment may result in service termination.
Separated Parents
Both parents remain responsible unless a legal agreement states otherwise and is provided to us in writing.
6. Clinic Guidelines
To support a safe and welcoming environment, please follow the guidelines below:
Respect & Behaviour
We value kindness and courtesy. Disrespectful behaviour may result in cancellation of services.
Attendance & Visitors
A parent or carer must remain onsite during therapy. If you need to leave for any reason we require that you notify us and provide us with contact details and expected duration.
Siblings are welcome but must be supervised.
Only therapists or invited children should use therapy equipment.
Health & Illness
Do not attend if unwell. We may reschedule or offer telehealth. Refer to our illness policy for more.
Session Safety
Some sessions may require lifting or physical assistance. If an aide is unavailable, we may ask for your help. Additional support needs may incur extra fees, which will be discussed with you.
Therapeutic Modalities
We use a variety of evidence-informed techniques. Our therapists will ask a variety of questions so that we can make a clinical judgement of what therapy technique is appropriate. If there are any changes over time please notify your therapist.
Mandatory Reporting
Our therapists are mandated by law to report any concerns about a child’s safety or wellbeing.
Filming & Photography
You may film your own child, but please avoid capturing others unless you have their consent. We may ask you to stop filming if it disrupts therapy or breaches privacy.
Teaching Facility
Therapies for Kids is a teaching site. Student therapists may observe or assist under direct supervision. If you do not wish your child to participate in this please inform your therapist.
Therapist Changes
Sometimes changes occur due to leave or scheduling. We will always ensure smooth transitions and communicate changes in advance. For many children the opportunity to socialize with new people in a safe environment is beneficial and we encourage this if it is suitable for your child.
